HauzHunter - Cancellation Policy

Introduction

This Cancellation Policy explains how seekers and hunters can cancel hunt requests or assignments on the HauzHunter platform. This policy should be read together with our Terms of Service and Refund Policy.

1. Cancellation by Seekers

1.1 Free Cancellation Period (Before Hunter Assignment)

You may cancel your hunt for FREE with a full refund if:

  • You have paid for a hunt via M-Pesa, AND
  • No hunter has accepted your hunt assignment yet, AND
  • You submit your cancellation request before a hunter accepts

How to Cancel:

  1. Open the HauzHunter app
  2. Navigate to your active hunt
  3. Tap "Cancel Hunt" (if available), OR
  4. Email hauzhunter@kindertec.co.ke with your details

Refund Processing: 100% full refund to your M-Pesa account within 5-7 business days.

1.2 Cancellation After Hunter Assignment

Once a hunter has accepted your hunt assignment, free cancellation is no longer available.

You must raise a formal dispute with a valid reason (hunter unresponsive, unprofessional, unable to fulfill, etc.).

Possible Outcomes:

  • Full Refund (100%): If hunter has not started work or is at fault
  • No Refund (0%): If hunter has provided substantial work
  • Partial Refund (Future Feature): In some cases, a negotiated split may apply

1.3 Common Valid Reasons for Cancellation

  • Hunter has not responded to messages for 5+ days
  • Hunter accepted but has not made any effort to find properties
  • Hunter is providing properties that clearly don't match your requirements
  • Hunter is behaving unprofessionally (harassment, offensive language)

2. Cancellation by Hunters

2.1 Before Accepting Assignment (No Penalty)

Hunters may decline hunt assignments at any time before accepting, without penalty. When you receive a hunt notification, you can simply ignore it or tap "Decline." This does NOT affect your rating.

2.2 After Accepting Assignment

Once you accept a hunt, you are expected to fulfill it.

If you must cancel due to emergencies or unforeseen circumstances, you must:

  1. Communicate immediately with the seeker via WhatsApp/phone
  2. Request mutual cancellation from the seeker
  3. Contact support at hauzhunter@kindertec.co.ke with your reason

Consequences of Repeated Cancellations:

  • First Cancellation: No penalty if legitimate reason provided
  • Repeated Cancellations: Account warning or temporary suspension
  • Severe Abuse: Permanent account termination

Valid Reasons:

  • Medical emergency (personal or family)
  • Unexpected work or personal obligation
  • Natural disaster or force majeure event
  • Seeker is unresponsive or behaving inappropriately

3. Automatic Cancellation

HauzHunter may automatically cancel a hunt in the following scenarios:

  • Payment Failure: If M-Pesa payment fails or is declined
  • No Hunter Accepts Within 7 Days: Full refund issued automatically
  • Technical Errors: System issues preventing hunt from proceeding
  • Account Termination: If either party's account is terminated for violations

4. Non-Cancellable Situations

4.1 After Seeker Confirms Completion

Once a seeker confirms that a hunt is complete and they are satisfied, the hunt CANNOT be cancelled and payment is final and irreversible.

4.2 After 30-Day Auto-Completion

If a hunter marks a hunt as "Completion Requested" and the seeker does not respond within 30 days, the hunt is automatically marked complete and payment is released. The hunt CANNOT be cancelled after this point.

5. Cancellation Request Process

Via App (Preferred):

  1. Open HauzHunter app
  2. Go to "My Hunts" (seekers) or "My Assignments" (hunters)
  3. Select the relevant hunt
  4. Tap "Cancel" or "Raise Dispute"
  5. Follow the prompts to provide reason and evidence

Via Email:

Send an email to hauzhunter@kindertec.co.ke with:

  • Subject: "Cancellation Request - [Your Phone Number]"
  • Your full name and registered phone number
  • Hunt ID or hunt details (areas, budget, date created)
  • Your role (seeker or hunter)
  • Reason for cancellation (be specific)
  • Supporting evidence (screenshots, communication logs)

Response Time:

  • Auto-Cancellations (before assignment): Instant (processed within minutes)
  • Dispute-Based Cancellations: 5-7 business days for admin review
  • Complex Cases: May take up to 14 days
